Embracing the future with agenticAI: embraceableAI is ready to take on competitors with bold ambitions and a fresh, vibrant design that will set it apart in the dynamic landscape of AI tools.
embraceableAI is a German start-up company aiming to revolutionise customer service bots through AgenticAI. The platform uses the well-known LLM integration from ChatGPT to produce automated, personal processes for end-users, which are completely self efficient and don’t follow a waterfall principle, as many customer chatbots do. This allows the bot to have an improved help system for customer requests or complaints.
Given the fast-paced start-up environment, embraceableAI had no brand design or design system on hand. It was our mission to create a more user friendly platform with a complete new brand and tone-of-voice for the company, along with the redesign of the website.
In a team of two I was functioning as the Lead UX Designer in this project, guiding and delegating my fellow colleague for an improved look and feel, while working closely with developers and stakeholders throughout the process.
The primary challenge lay in making embraceableAI a competitive and unique product in an increasingly saturated AI market. The existing platform not only lacked consistency and a modern look and feel but most importantly, it suffered from numerous usability issues that frustrated users; navigation was complicated, document management was cluttered, and manual processes contradicted the platform's automation goals. Users reported getting lost in the interface and struggling with basic tasks like file uploads and chat management.
To be able to understand the functionality of this complex product, we began by conducting interviews with a selected group of users, which helped us first of all to understand who are the users and secondly to empathise with them and their needs. Through this research we were able to properly identify critical user pain points and expectations which guided our design decisions throughout the entire project. In order to place embraceableAI on the same level as the top notch companies in the AI market we analysed successful competitors like Defy or BeamAI. This really gave us a good understanding on the needs for this platform.
Andrew Adams, 28 years old
Andrew is a software engineer and has worked in IT for over 6 years. His biggest pain point is having to switch back and forth between numerous windows while writing a prompt and often getting lost in the process. He wishes for a more automated and organised environment to simplify his task and to be more efficient.
Once we had a good understanding of the user’s and product’s goals we first focused on the functionality before getting distracted with colours and typography. Therefore I developed low-fidelity wireframes using MIRO which allowed for fast iteration and feedback from prompt-engineers, developers and further stakeholders.
The base for the redesign was now set and we were able to continue with the visual design, which involved creating a completely new brand. We created a more modern and fresh colour scheme while taking into consideration colour psychology principles and selected a typography that conveyed trust and sophistication but also portrayed modern technology.
As the platform was build with AngularJS using a component library called ‘PrimeNG’, I opted to greatly amend the corresponding Design System ‘PrimeOne’ with our new style guide, while using Figma’s new token feature for easy mode-switching, i.e. dark and light; always considering design-to-code principles for a seamless handover with developers.
For keeping a brand consistency we then successfully updated embraceableAI’s website, created easy-to-understand graphics and marketing folios, as well as a comprehensive brand guide to smoothly handover the project to the client.
The platform redesign was focused on an intuitive navigation pattern and a seamless document management process. We implemented clear visual hierarchies and improved the information architecture to help users easily find and manage their content. By structuring the single outcomes into two sections - chat dialog and source panel - and by removing unnecessary clutter and repetitions in the dialog, the usability was drastically improved. As a result we were able to lead the focus to the outcome and page scrolling was thus minimised.
The new interface featured a much more organised content structure with better filtering of older prompts.
The source-panel was highly improved and now offers easy-to-find identifiers for each source file that was used in one prompt and also a quick navigational system to jump between the different steps in a single process.
To give embraceableAI its own tone-of-voice and identity, it received a complete brand overhaul - from the platform to the website and marketing material - resulting in a modern and trustworthy visual language that better reflected the company's innovative technology. But most importantly, the scalable design system and comprehensible brand guideline we created provides a strong foundation for future development and growth.
